Access Control

Safety and Security are the priority of the front desk team

The prime responsibility of the team at reception is security; they are instructed to follow a strict access control procedure to ensure that only authorised people are allowed into the building, and closed-circuit recorded cameras are in service across the reception area, lift lob, lower ground floor and approaches to the building’s entrances to monitor any suspicious activity or disturbance in those areas.

Control of Entrance Doors

The entrance doors kept locked when the front desk is not manned, and the porter on duty can be joined using the intercom system located next to both entrances, which is connected to the porter’s mobile phone.  Access from the entrance area to the lift lob is controlled the porter on duty.

If the front desk is momentarily not manned, residents can activate the opening of the front and side entrance automatic doors as well as the doors leading into the lift lob using their electronic “fob”.  In the interest of security, residents entering the building using their “fob” are kindly requested to wait until the entrance doors have closed before opening the doors leading to the lift lob.

Residents, Visitors, House Staff and Contractors

Residents who are unknown to the porter on duty will be asked for their name which will be checked in the registry of residents, and for some proof of identity if they do not have their keys on them.

In the absence of a resident, access to the flat contractors or staff will only be granted to those individuals or companies whose names have been authorized the resident.  It is therefore important that the list of authorisations held the front desk team is always kept up to date.

The front desk team also have a register containing emergency contact details to be used in the case of unforeseen events to reach a resident who is absent or traveling.

Blank access authorisation forms and emergency contact detail forms can be downloaded from  the links below or from the “downloads and forms” section of this website.  The PDF format is designed to be printed and completed hand.  The Word format can be completed on screen using Microsoft Word and subsequently printed.

Instructions in absence

Whilst you are away - Make sure everything runs smoothly in your absence

The porters at the Reception Desk hold a file containing contact details and instructions to be observed in the absence of residents.

These consist of two forms for each flat:

  • The first form provides contact details in case of emergencies
  • The second lists the people who may access the premises in the absence of the occupier (for example a cleaner, contractor, or relatives and temporary guests).

It is each resident’s responsibility to make sure the information in the porters’ file is up-to-date. In particular, it is advisable to check that the telephone and mobile numbers on which you can be reached in case of an emergency as well as your email address are still valid.

For security purposes, the reception desk staff are instructed to request some proof of identity from any person unknown to them. Residents should therefore ensure that the list of people authorised to access their premises in their absence is up-dated regularly.
